Control repair orders, parts and supplier work

A repair order should explain why work exists, which vehicle and event created it, the approved tasks, responsible person or supplier, priority, required parts, status and evidence needed for completion. Preserve changes to scope and approval. If more work is discovered, record the finding and decision rather than silently replacing the original estimate. Use consistent labor, parts and external-service categories so future analysis can distinguish cost drivers.

Parts and supplier dependencies need visible ownership. Record whether a part is reserved, issued, returned, substituted or back-ordered and how that affects expected completion. Define the technical review, test, inspection, documentation, cleaning, fueling or charging and administrative checks required for the work type. Link the measure to demand and utilization context: a vehicle unavailable during a high-demand period has a different operating effect from the same duration in a low-demand period, but both still require accurate status and safe work.

Do not use a universal benchmark unless the definitions, fleet mix and operating context are genuinely comparable. Build an internal baseline and review material cases.
